Playbooks Basics

With Mattermost Playbooks, you can create workflows and run through them together with your team. In this way, repetitive processes can be standardized and everyone involved stays informed about the current status.

  • Creat new Playbook

     

    1. Start Playbooks

    Navigate to “Playbooks” at the top left next to the arrows. An interface similar to the one in the screenshot should then open.
    On the left-hand side, you can see which Mattermost team you are in, as well as the runs and playbooks created in this team. A so-called run is created for each individual execution of a playbook.
    If you would now like to create a playbook, click on “Start playbook”.

    2. Create new Playbook

    If you want to create a new playbook, click on “Create new playbook” in the top right-hand corner. Alternatively, you can also edit existing playbooks. These would then be listed under “Your playbooks”, like the “Test” example here.

    3. Choose template

    Give your playbook a name. It is also worth taking a look at the existing templates and adapting them to your own requirements if necessary, as they usually form a good basis. In this case, the “Customer Onboarding” template has been selected. Click on “Create playbook”

    4. Status Updates

    On the page that now opens, you can edit your workflow (=playbook). On the left-hand side, you can jump to the relevant content.
    Under “Status updates”, you can set the rhythm in which status updates are expected and the channel in which they are posted for other members.

    5. Tasks

    Under “Tasks” you can see which tasks are assigned to your playbook. These are divided into the respective time periods within which they are to be completed. Here you can edit existing tasks or add new ones. The checkboxes are later used to mark completed tasks.

    6. Retrospective

    If you want the respective workflow to be evaluated after it has been completed, you can add evaluation questions here.

    7. Action

    Under “Action”, you can make settings for the implementation of your workflow. First, you can decide whether the updates should be posted in an existing channel (in this case, the “Marketplace” channel) or whether a separate channel should be created for this purpose. You can also invite specific members to take part in the implementation or specify them as owners.
