Securing Data by Using the Net or O Hard Drive
Ladies and Gentlemen,
computers are a daily job necessity at a university. IT services help us perform large amounts of our work every day. Hence, the security of officially created and used data is an important issue. Your documents, works, address books, letters, etc. are saved on the hard drive of your PC. Their life span is rather short. Furthermore, malware endangers your data; especially via the internet. IT admins lack the possibility and technology to recover your data either in full or partially after damages to your hard drive or a virus infection occurred.
Back up your data regularly!(1) IVV7 or ITSU7 (IT Support Units) prepared a rather reliable and standardized method for all staff members at the faculty of protestant theology and its institutes and seminars: a data recovery server which guarantees strong protection AND copies your data twice every night per differing technical processes. This server allows for a personalized directory, which can be accessed through your user ID; it is called the Net or O hard drive. A little program known as BACKUP (BACKUP.bat | backup7.bat) can help to save your data regularly via every computer within the surroundings of the faculty and its seminars and institutes on that server.(2) Moreover, this hard drive allows you to access your data from every computer as well.(3)
Should you not be in possession of a personalized directory on the server of the ITSU7, please request a - at first limited to 10 gigabytes - hard drive with the IT team of the Faculty of Protestant Theology, or with the ITSU7 and back up your data regularly. Please close all tasks before the backup. Contact the IT team of the department with any questions concerning the installation of your personalized directory.

(1) We recommend you back up your data daily. The IT team will only help in justified hard cases with the backup of your official data. We ask for your understanding.
(2) Considered a Batch script, which mirrors the crucial directories and their content from your personalized directory to „\\ivv7\IhreNutzerkennung\Backup\Rechnername“ (Translation: \\ivv7\YourUserID\Backup\NameofPC). Backup copies of deleted data will not be archived. Unter Windows XP saves the following: Mozilla profile, Thunderbird profile, Eudora, Outlook profile, Identities, Templates, Office Application Data, Favorites, Desktop, Documents, public Documents. Windows 7 saves the following: Mozilla profile, Thunderbird profile, Eudora, Outlook profile, Identities, Templates, Office Application Data, Favorites, Desktop, Documents, public Documents, Pictures, Microsoft Templates. The Batch script is available with the IT team, the ITSU7 or directly via the directory „\\ivv7\ivv7-service\“. „BACKUP.bat“ is configured for Windows XP and „backup7.bat“ is configured for Windows 7. Possible changes by the ITSU7 reserved.
(3) Manual: If using Windows XP, click 'Start -> Execute' and type „\\ivv7\IhreNutzerkennung“ (IhreNutzerkennung = your user ID) and then press enter. If using Windwos 7, click 'Start -> Computer' and type „\\ivv7\IhreNutzerkennung“ into the address bar where it says Computer, then press enter. If you are outside the university's network, you must first establish a connection via VPN.
